Cancellation Policy

MDH Inc./Navasota River Halls (referred to as the “Licensor”) | Renter/Client/Responsible Party (referred to as the “Licensee”) To secure your event date, a non-refundable down payment is required: $1,500. The remaining balance is due in full 14 days before the scheduled event. Failure to pay by this deadline may result in cancellation. We accept check, money order, or certified bank payment. Cancellations made more than 14 days before the event will not incur additional charges beyond the deposit. Cancellations within 14 days are subject to a fee of 50% of the total rental amount. Rescheduling is permitted more than 14 days in advance, subject to availability and written approval. A rescheduling fee may apply. Rental includes use of the venue from 8:00 AM to 1:00 AM. All setup and cleanup must occur within this window unless otherwise approved. Use of the banquet hall, kitchen (prep only), bathrooms, porches, and outdoor areas is included. Tables and chairs are provided per each venue’s standard inventory. A seating chart is required at least 7 days before the event. If alcohol will be sold, a TABC-certified bartender must be provided by the client. Proof of certification is due no later than 7 days before the event. Security will be provided at no additional cost. MDH Inc. does not hold a TABC license and is not responsible for alcohol service. Children must be supervised. Firearms, fireworks, BB guns, and similar items are strictly prohibited. Open flames are not permitted indoors. Smoking is prohibited indoors and within 20 feet of all buildings. The licensee is responsible for cleaning up any cigarette waste. Confetti, glitter, hay, and sand are not allowed inside the facilities. Decorations must be freestanding; adhesives or fasteners are prohibited. Damage caused by decorations or misuse will be billed to the licensee. No pets are allowed unless approved in writing. MDH Inc. is not responsible for lost or damaged personal items. Licensee is liable for any damages and must pay within 30 days of invoicing. By booking with us, you, the Licensee, agree to follow these policies and ensure a safe, respectful, and enjoyable experience for all guests.
